It applies to clients, prospective clients, and other individuals whose information appears in a real estate transaction we are involved in, for example buyers, sellers, co-agents, attorneys, lenders, and other transaction participants.

AI Tools and Dotloop Real Estate Transaction Data

Dotloop is a third-party real estate transaction management platform that we use to manage listing and transaction paperwork. We use certain internal AI-assisted tools to help us work more efficiently with the information stored in our Dotloop account. These AI tools may access Dotloop data only with the authorized consent of the applicable user, for example an agent on our team who connects their Dotloop account to our internal tools, and only for legitimate business purposes connected to that transaction.

The categories of Dotloop data our AI tools may access include:

  • Profile information for the authorized Dotloop user, such as name, email address, and account details.
  • Loops, meaning the individual real estate transaction workspaces created in Dotloop.
  • Contacts saved within the Dotloop account.
  • Participants associated with a loop, such as buyers, sellers, co-agents, attorneys, and lenders.
  • Documents uploaded to or generated within a loop, for example purchase and sale agreements, disclosures, and addenda.
  • Tasks and task-related details tracked within a loop.
  • Transaction details, such as property address, price, and key transaction dates.

We access this data only after the applicable user has authorized the connection between Dotloop and our internal tools, consistent with Dotloop’s own authorization process. A user may decline to connect their account, and doing so will not affect the underlying real estate transaction, which can still be managed through Dotloop directly.

Barrett & Company, our real estate brokerage, does not sponsor, operate, endorse, or take responsibility for this specific AI integration or its use of Dotloop data. Dotloop is a product of Dotloop, LLC, a Zillow Group company, and its own handling of information is described in Dotloop’s own privacy policy, which we encourage you to review.

How We Use Your Information

We use personal information, including information accessed through Dotloop as described above, to:

  • Provide real estate services and manage transactions we are involved in.
  • Prepare, review, organize, and help track transaction documents and tasks.
  • Communicate with clients and other transaction participants.
  • Improve the efficiency and accuracy of our internal workflows.
  • Comply with legal, regulatory, and recordkeeping obligations applicable to real estate transactions.

We do not use Dotloop transaction data to make automated decisions that produce legal or similarly significant effects concerning you.

How We Store and Protect Your Information

Information we access is stored using a combination of Dotloop’s own systems and the systems of the internal tools and service providers described in this Policy. We use commercially reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, or destruction, such as restricting access to authorized personnel, using authenticated connections to Dotloop, and working with service providers that maintain their own security programs. No method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.

Sharing With Service Providers

We do not sell personal information. We do not sell, rent, or trade your personal information, including Dotloop transaction data, to third parties for money.

We may share personal information with service providers who perform services on our behalf, such as AI and cloud computing vendors that help us process and store data, under agreements that limit their use of the information to providing services to us.
